Struggling to get the high-level support your small business needs? You’re not alone. Many small business owners struggle with this same thing, often piecing together information and hustling through challenges on their own. Enter Racheal Cook, Founder & CEO of the CEO Collective, who’s dedicated to changing that. In this episode, Racheal shares her mission to empower CEOs and small business owners with the tools and strategies they need to thrive.

Building a Business with Purpose and Balance
Why an Idea Parking Lot is Your Business’s Best Friend
We all have “lightbulb moments” where a new idea seems irresistible. But constantly chasing these ideas without context can overwhelm your team and derail your focus. As Racheal Cook puts it, “Each time you throw a new idea, it is like throwing a dopamine bomb in your business.” For visionary CEOs, this excitement often leaves their team scrambling to keep up.
The solution? Create an idea parking lot. This simple document, whether it’s a Google Doc, a note on your phone, or a Trello board, is a dedicated space to capture all your ideas. Let them sit and simmer until your next quarterly planning session. Then, evaluate them against your business’s vision, resources, and current priorities. Some ideas will prove unfeasible or less impactful upon reflection, while others may wait until the right moment to shine.
Racheal shares her experience of waiting two years before bringing her planner idea to life. Why? Because launching a physical product required a designer, budget, and bandwidth that weren’t immediately available. Allowing ideas to mature in the parking lot prevents shiny object syndrome and protects your team from unnecessary stress.
The 90-Day Sprint Framework for Clear Focus
Breaking down your goals into manageable 90-day sprints is another game-changer. As Ashley explains, the Entrepreneurial Operating System (EOS) has helped her team maintain accountability by translating yearly goals into quarterly objectives and weekly scorecards.
For businesses without a formal executive team, Racheal’s 90-Day CEO Operating System offers a similar approach. It starts with building your Client Growth Engine, which comprises three essential systems:
- Marketing System:
Define how you attract, engage, and nurture your audience. This system should be repeatable, predictable, and aligned with your capacity. Racheal emphasizes avoiding the feast-or-famine cycle by consistently prioritizing marketing, even during busy periods. - Sales System:
Map the customer journey from lead to purchase. Evaluate every touchpoint, from ads to landing pages, ensuring the process is seamless for both desktop and mobile users. Retargeting and personalized experiences can significantly boost conversions. - Delivery System:
Whether it’s onboarding for a service or surprise-and-delight moments for a product, focus on creating memorable experiences. Small touches like personalized welcome emails or exclusive early access can transform one-time buyers into lifelong customers.
By perfecting these systems, you create a scalable foundation that allows your team to take ownership of each area. Quarterly check-ins help identify opportunities for refinement and ensure all efforts align with your vision.
The Power of Customer Lifetime Value
Beyond acquiring new customers, the secret to long-term growth lies in maximizing Customer Lifetime Value (CLV). Instead of focusing solely on initial purchases, think about how to nurture repeat buyers. According to Racheal, getting a customer to their third or fourth purchase often solidifies them as a client for life.
Simple strategies, like subscription models or thoughtful follow-ups, can make a big difference. For example, if a customer buys a sleep aid, sending a timely reminder for a refill—and offering an auto-ship option—can increase loyalty and ease their decision-making.
Ashley adds, “Scaling your business comes down to understanding CLV and Customer Acquisition Cost (CAC). Once you know these metrics, you can confidently invest in ads and other marketing efforts, creating a predictable growth engine.”
Focus on Systems, Not Flash
Contrary to popular belief, scaling isn’t about flashy Instagram posts or perfectly curated reels. It’s about the nitty-gritty systems and processes that fuel your business. By tracking meaningful metrics and refining your workflows, you can iterate and improve each month, creating a resilient and scalable operation.
As Ashley perfectly sums up, “The secret to business isn’t the fancy stuff. It’s the frameworks that actually allow us to grow.”
